What a good quotation includes
A quotation should make three things unambiguous: what exactly is included, what it costs, and how long the price holds. Most disputes later trace back to one of those three being vague at the start.
This generator gives you a quotation number, an issue date, a "valid until" date, itemised scope with quantities and unit prices, a GST line if you are registered, and a terms block. Signature lines for both sides are printed at the foot so an accepted quote becomes a record of agreement.
Why the validity date matters in Singapore
Material and labour costs move, and a quotation with no expiry is an open-ended commitment. Thirty days is the common default for Singapore SMEs; construction and fit-out work often uses fourteen given how quickly material pricing shifts.
Stating the validity clearly also gives you a legitimate, non-pushy reason to follow up before it lapses, which is one of the simplest ways to lift a quote-to-order conversion rate.
From quotation to job, without retyping
The real cost of quoting by document is what happens after acceptance: the same line items get retyped into a job sheet, then a delivery order, then an invoice, and each retype is a chance to introduce an error.
A quotation system carries an accepted quote straight through to the job and the invoice, so the numbers only get entered once.
Questions
What is the difference between a quotation and an invoice?
A quotation is an offer: it proposes a price for work not yet done, and it expires. An invoice is a demand for payment for work already delivered, and for a GST-registered business it is a tax document IRAS can ask to see.
How long should a quotation be valid in Singapore?
Thirty days is the common default for Singapore SMEs. Trades exposed to volatile material prices, such as construction and fit-out, often use fourteen days instead.
Should I show GST on a quotation?
If you are GST-registered, yes — show it as a separate line so the client sees the true total and is not surprised at invoicing. If you are not registered, you must not charge or display GST at all.
Can the client sign the quotation?
Yes. The generated PDF prints signature blocks for both you and the client, so a signed copy works as written acceptance.
When documents stop being the problem and tracking starts, Digital 9 Labs builds a custom system around how your Singapore business already works — quotes, jobs, delivery and invoicing in one place, with the numbers entered once.
