What a purchase order is for

A purchase order is your written instruction to a supplier: these items, this quantity, this price, by this date. It converts a phone call or a chat message into something both sides can point at later.

It also protects your cash. When a supplier invoice arrives, you can match it against the PO before paying, so you catch price creep, over-delivery and items you never ordered before the money leaves.

The three-way match

Finance teams check three documents against each other before paying a supplier: the purchase order (what you agreed to buy), the delivery order or goods receipt (what actually arrived), and the supplier invoice (what you are being asked to pay).

If all three agree, the invoice is safe to pay. If they do not, you have found a problem while you still have leverage. Doing this by hand across paper and email is where most small businesses quietly lose margin.

Is a purchase order legally binding in Singapore?

A purchase order becomes a binding contract once the supplier accepts it, either by acknowledging it in writing or by performing against it. That is why the generator prints a supplier acknowledgement signature block.

What is the difference between a purchase order and an invoice?

A purchase order is issued by the buyer before the goods arrive and states what is being ordered. An invoice is issued by the seller after delivery and demands payment. The PO number should appear on the supplier invoice so the two can be matched.

Should a purchase order show GST?

It is helpful to show the expected GST so the approved value matches what the supplier will invoice, but the tax point sits with the supplier's tax invoice, not your PO.
