Bluedot Audio & Screen is a Singapore CCTV and audio-visual business that supplies, distributes and installs security camera and AV systems for contractors, construction sites, condominiums, landed homes and commercial premises. The work runs from an initial enquiry, to an on-site survey of what equipment and cabling a location needs, to building a priced quotation, to scheduling engineers for the installation, and finally to handing the customer the signed paperwork that proves the job was delivered.

Running this kind of business on paper and group chats creates friction at every step. An engineer surveys a site and lists out what is needed - cameras, recorders, network switches, the right cable types, piping and junction boxes - but that list lives in photos and messages, so the office has to re-key it to build a quote. Pricing a job means pulling together products and labour by hand, and there is a constant risk of a customer-facing quote accidentally exposing the internal cost or margin. Installation photos that prove the work was completed get scattered across WhatsApp groups with no reliable record of who took them or when. And because every document - quote, delivery order, tax invoice, job completion form - needs a running reference number and a customer signature, keeping the numbering correct and the signed copies together becomes its own job. The result is slow quoting, lost paperwork, and no single place to trace a finished job back to what was originally promised.

How we helped

Digital 9 Labs built Bluedot a custom ERP made of two connected apps. A desktop back-office system for the owner and office staff handles customers, site surveys, quotations, inventory and jobs; a separate mobile-first app is built for field engineers to use on-site. On the engineer app, staff capture a site survey by picking the customer, recording the site type and what the survey is for, and adding the required items from a fixed, searchable catalogue (cameras, recorders, switches, cable grades, piping, junction boxes and more) so nothing is mistyped or forgotten - then they snap site photos straight from the phone. The office reviews the submitted survey and converts it to a quotation in one click: every surveyed requirement becomes a priced line item, product descriptions and warranties pre-fill from the catalogue, and the office sets prices in a quote builder that produces a clean, professionally formatted PDF on the company letterhead. Internal cost and margin are deliberately kept off every customer-facing document. Jobs are created and assigned to engineers, who then upload proof-of-work photos against the job from their phones, each automatically time-stamped and tagged with who uploaded it. Document reference numbers for quotes, delivery orders, invoices and job completion forms are issued in a strict running sequence the way the business has always numbered them, and every finished job can be traced back through its job, quote and original survey.
